How much does Zapier cost per month?
At the time of writing, Zapier's Free plan is $0 and includes 100 tasks a month. Paid Professional plans start at $19.99 a month on annual billing for 750 tasks, and Team plans start at $69 a month on annual billing for 2,000 tasks. Monthly billing costs more, roughly 50% more on the same tier.
The price you pay depends on tasks, not on the number of Zaps you have. So the useful question is how many successful action steps your automations run each month.
What is a Zapier task?
A task is one successful action step. Triggers, filters, paths, Formatter steps and Delay steps are free. Actions that error, or that a filter stops before they run, are not charged.
This is the point that surprises most people. A Zap with one trigger, one filter and three actions uses three tasks for each item that passes the filter, not four. Zapier's own task usage article lists which steps count.
What does a realistic monthly bill look like?
Take a new-lead flow that runs three actions per lead. At 1,000 leads a month, that is 3,000 tasks, which needs the 5,000-task Professional tier: $89 a month on annual billing, or $133.50 monthly.
Here is how the same month plays out at a few volumes, using Zapier's listed annual prices at the time of writing:
- 300 leads a month, 900 tasks: the 2,000-task Professional tier at $49 a month.
- 1,000 leads a month, 3,000 tasks: the 5,000-task Professional tier at $89 a month.
- 3,000 leads a month, 9,000 tasks: a higher tier, which is where costs start to matter and where a rebuild can pay for itself.
These examples assume one run per lead and no retries. A flow that sends a reminder, retries a failed step and logs each result uses more tasks than it appears to. Count the actions in your real flow before you pick a tier.
What happens when I go over my plan?
If pay-per-task billing is turned on, Zapier charges for extra tasks. If it is off, your Zaps pause once you reach the limit. Check your settings before a busy month.
Zapier's pricing page lists the overage rate as a multiple of the base task rate: 1.25 times on annual plans and 2.5 times on monthly plans, with usage paused at three times the plan limit until the next cycle. Read the current wording on the pricing page before you rely on it.
How can I cut Zapier costs without losing automations?
Filter early, merge steps that can share one action, and move high-volume logic out of Zapier when it no longer fits.
- Filter first. Put a filter before the actions so records that do not need the flow never reach a paid step.
- Merge actions. Two writes to the same app can often be one.
- Delete dead Zaps. A forgotten Zap that still fires on every new record can be the biggest line on the bill.
