Answer every new-patient enquiry in minutes, even when the front desk is busy.

AI agents respond to new-patient calls, forms and chats within minutes, and automated reminders, recall and review requests run on a GoHighLevel backend alongside your practice software.

Key takeaways

  • Dental patients contact several practices at once. The first to answer usually books the visit.
  • Smile Bright reported first response falling from 45 to 90 minutes to under 5 and 50 to 60% fewer missed enquiries in its first 14 to 21 days.
  • Give emergency and routine enquiries separate paths, and decide in advance how emergencies reach a person.
  • This works alongside Dentrix, Eaglesoft or Open Dental. It handles the conversations around a visit, not the clinical record.

What can a dental practice automate?

A dental practice can automate new-patient enquiry capture, the first response by AI call, text or chat, appointment confirmations and reminders, missed-call text-back, recall and reactivation of overdue patients, and review requests. Clinical records stay in your practice management software.

The practice software stays the system of record.

Dental practices lose new patients in the gap between an enquiry and a reply. Someone searching for a dentist, especially with pain or a broken tooth, contacts several practices at once, and the first to answer usually books the visit. The front desk cannot greet patients, answer the phone and reply to web forms at the same moment. Automation handles the first response so the team can look after the patients in the building.

What did we build for a dental practice?

For Smile Bright, a general and cosmetic dental practice, we built a GoHighLevel CRM with New Patient, Emergency, Cosmetic and Follow-Up/Recall pipelines, automatic lead intake from every source, n8n routing, an AI calling agent and chatbot, and WhatsApp, SMS and email automation.

Smile Bright: first response time

Missed enquiries also fell 50 to 60% in the same window (client-reported).

Before the build, enquiries from paid search, Local Service Ads, social ads, the Google Business Profile, the website and insurance portals landed in different places. The front desk typed them in by hand, first response took 45 to 90 minutes depending on who was free, and after-hours enquiries waited until the next day.

The practice reported, over the first 14 to 21 days after launch, first response falling from 45 to 90 minutes to under 5 minutes and missed patient enquiries down 50 to 60%, with enquiries now handled around the clock. Read the full Smile Bright case study for the five-layer build and the response target for each lead source.

How should emergency and routine patients be handled differently?

Give them separate paths. An emergency enquiry, such as pain, swelling or a broken tooth, should reach a person or a priority call immediately, while a routine cleaning or cosmetic enquiry can be answered by text or chat and booked online.

At Smile Bright, emergency enquiries go to their own pipeline and get the fastest response, and an n8n layer recognises urgent cases early. Decide in advance exactly what the automation says in an emergency and how it escalates to a person. An AI agent should never give clinical advice.

How does dental recall automation work?

Dental recall automation sends overdue patients a sequence of reminders by text and email when their hygiene visit or unfinished treatment is due, with a booking link, and creates a call task for the front desk when there is no response.

  1. Identify who is due. Patients past their recall date or with unscheduled treatment, from your practice software or a regular export.
  2. Send a friendly reminder. A short text with a booking link, then an email a few days later.
  3. Escalate to a person. A call task for patients who have not replied after the sequence.
  4. Stop on booking. The patient moves to the appointment reminder flow instead.

At Smile Bright, recall runs through its own Follow-Up/Recall pipeline. Our guide to dental recall and patient reactivation covers the sequence step by step.

What should the first reply to a new-patient enquiry say?

The first reply should thank the patient, confirm what they asked about, and offer the fastest way to book, a link or a call back, within minutes. For anything that sounds urgent, it should say a person will call right away and then make sure one does.

  • Routine: "Thanks for contacting [Practice]. We'd love to see you. Book your visit here, or reply with a good time to call: [link]"
  • Cosmetic: offer a consultation, not a price list, and let a person handle detailed pricing questions.
  • Urgent: "We're sorry you're in pain. A team member will call you in the next few minutes." Then alert the front desk immediately.

Does this replace Dentrix, Eaglesoft or Open Dental?

No. Your practice management software stays the clinical and scheduling record. The automation layer handles the conversations around a visit: enquiries, reminders, recall messages and reviews.

How the two connect depends on your software and what it exposes. Some practices sync appointments through an integration, others keep the CRM for new-patient enquiries and marketing only. Our guide to GoHighLevel for dentists covers what the CRM does and does not do alongside practice management software, and API integrations covers how a sync is built when one is possible.

What does AI do in a dental practice?

AI agents answer and follow up with new-patient enquiries. An AI receptionist answers calls when the front desk is busy or closed, an AI chat agent answers website and text questions about availability and services, and an AI calling agent rings new leads within minutes.

See the AI receptionist and AI chat agent pages for how each works. Approve exactly what the AI may say about pricing and insurance before launch, and keep clinical detail out of its scripts.

What about HIPAA and patient messages?

Keep clinical detail out of text messages, decide what an AI agent may collect, and confirm with your own counsel which obligations apply. Appointment reminders should contain the minimum information needed.

Our guide to HIPAA and automation tools covers what GoHighLevel, n8n, Zapier and Airtable offer and where the gaps are. Texting, WhatsApp and AI calls to patients and prospects also need appropriate consent. This is operational guidance, not legal advice.

When is dental automation not worth it yet?

When the practice gets very few new-patient enquiries, or when the schedule is already full with a waiting list. Automation helps a practice answer and keep more patients; it does not create demand.

  • Low enquiry volume. Fix marketing first, or start with reminders and recall for existing patients.
  • No one owns it. Someone on the team needs to review AI conversations and handle escalations.
  • Unclear policies. Pricing, insurance and cancellation answers must be settled before an AI agent repeats them.

A full system of this scope typically takes 20 to 30 days to build. See reduce no-shows for the reminder logic, CRM automation for the service, and healthcare clinics for other practice types.
