What monthly software costs come on top of an automation build?
On top of the one-time build, you pay the software vendors each month: the CRM plan (GoHighLevel from $97 a month), usage for texts, calls and email, any AI usage, and an automation tool if the build needs one, such as n8n from about €20 a month or Zapier from $19.99 a month on annual billing. These go to the vendor, not to the agency.
The prices on this page are from each vendor's own pricing page, checked on September 30, 2026, and they change. Treat them as the starting points they are, and check the live pages before you budget. What matters more than any single price is knowing which of these lines your build actually needs, because many businesses need only the first two.
What does the CRM cost each month?
GoHighLevel lists three self-serve plans: Starter at $97 a month, Unlimited at $297 a month and Agency Pro at $497 a month, with annual billing at ten times the monthly price. A single business usually needs Starter. Unlimited and Agency Pro are built for agencies that run many client accounts.

What do texts, calls and email cost?
Messaging is billed by use. Texting from a US local number also needs A2P 10DLC registration: HighLevel lists a one-time fee of $22.50 for most small businesses and a monthly campaign fee from $1.50 to $10, plus per-message carrier fees. Calls are billed per minute and each phone number has a monthly charge.

What does AI usage cost?
AI features are billed separately. HighLevel lists pay-per-use pricing, an AI Employee Growth plan at $50 a month per location with 100 voice AI minutes, and an AI Employee Unlimited plan at $97 a month per location with unlimited voice AI under fair use. Voice AI on pay-per-use starts at $0.045 a minute for the voice engine plus a voice charge.

Do you need n8n, Zapier or Make as well?
Only when the build connects systems that the CRM cannot reach on its own. n8n Cloud starts at €20 a month billed annually for 2,500 workflow executions, and self-hosted n8n Community Edition is free apart from hosting. Zapier's Professional plan starts at $19.99 a month billed annually for 750 tasks. Make has a free tier and paid plans from $9 a month.

The difference in billing matters more than the entry price. Zapier counts every action as a task, while n8n counts a whole workflow run as one execution, so high-volume workflows usually cost far less on n8n. What does a typical monthly bill look like?
For a single local business on GoHighLevel with no AI agent and no extra automation tool, the monthly bill is the $97 Starter plan plus texting and calling usage. Adding an AI receptionist on the unlimited AI plan adds $97 a month per location, and a connector tool adds its own plan. Support from us, if you want it after the included six months, starts at $200 a month.

Questions about monthly software costs
Who pays the software subscriptions, us or the agency?
You do, directly to the vendor, and the accounts are in your name. That keeps you in control if you ever change agency.
Can we save money by paying annually?
Usually yes. GoHighLevel's annual price is ten times the monthly price, and n8n and Zapier both show lower monthly equivalents on annual billing.
Do we need Zapier if we have GoHighLevel?
Often not. GoHighLevel's own workflows and native integrations cover many small-business needs. A connector is only worth paying for when a system you rely on has no native connection.
Why do texting costs vary so much between businesses?
Because they are billed per message and per segment. A business sending a few reminders a day pays little; one running large text campaigns pays much more.
