Does Autoesta build Xero bill automation?
Yes. Autoesta builds Xero bill automation for clients: supplier invoices arrive by email or upload, an AI model reads them, rules check totals, vendor and duplicates, and approved invoices are created as bills in Xero with the original PDF attached.
Xero bill automation is part of our AI document processing service, and we build it on your own Xero organisation and your own n8n, Make or Zapier account. You own every account, workflow and record when we hand over. The same build can also post to QuickBooks Online if you run both, which our guide to QuickBooks Online bill automation covers.
If you want to see how the workflow works in detail before talking to anyone, our step-by-step page on automating invoice processing in Xero walks through Xero's own capture, the API route and the duplicate guards.
What does Autoesta build for Xero bills?
We build the full chain from inbox to approved bill: intake, extraction of header fields and line items, validation rules, a review queue for anything uncertain, and posting to Xero with the PDF attached and the bill ID stored.
| Part of the build | What goes in | What comes out |
|---|---|---|
| Intake | A bills inbox such as bills@yourcompany.com, an upload form or a watched Drive folder | The original file saved first, so nothing is lost if a later step fails |
| Classify | Each incoming file | Invoices go on; statements, reminders and credit notes are filed or handled separately |
| Extract | The invoice PDF or photo | Vendor, invoice number, dates, currency, subtotal, tax, total, PO number and each line item as structured data |
| Validate | The extracted fields | Checks that line items plus tax equal the total, that the vendor matches one Xero contact, that the invoice number is new for that vendor, and that PO lines match |
| Review | Anything that fails a rule or is marked uncertain | A queue in Airtable, Google Sheets or Slack with the page beside the extracted values |
| Post to Xero | Approved invoices | A bill in Xero with the PDF attached, and the bill ID recorded so a retry never posts twice |
| Alerts | Failed runs, expired connections, rate limit errors | A message to the person who owns the process, plus a daily count check |
Bills are one document type. The same pipeline can read receipts, purchase orders and other paperwork and send them to a CRM or a sheet instead. Our page on OCR vs AI document processing explains why we pair OCR with an AI model for poor scans and photos.
How does a Xero bill automation project with Autoesta run?
A free strategy call, a free audit using 20 to 50 of your real bills, a written plan with a fixed price, the build on your accounts, testing and a parallel run, then handover. Fixes to what we built are free for 6 months.
- Free strategy call. We ask how bills arrive today, how many you get a month, who approves them and what goes wrong.
- Free audit. You share 20 to 50 real bills, including the awkward ones. We list the fields, the checks and where each field goes in Xero.
- Plan and fixed price. You get a written plan and a price before any work starts.
- Build on your accounts. Intake, extraction, validation, review queue and posting, in your automation account and your Xero organisation, with access you can remove at any time.
- Test. Your sample bills, with the correct values typed in, become a test set. Every change is re-run against it.
- Parallel run. For the first batch your team keeps entering bills as before and compares the results.
- Handover. Once results match, bills that pass every rule post on their own. You get the workflows, credentials and a short runbook, and our 6 months of free fixes start.
The most common delay is waiting for access to Xero and the shared inbox. Our FAQ on how long an automation build takes covers what speeds a project up.
How much does Autoesta charge for Xero bill automation?
At the time of writing, a small build of two or three automations, such as bill intake, extraction with checks, and posting to Xero, is about $1,000. Full setups run $2,000 to $5,000, and larger systems get a fixed price after the free audit.
| Item | Price at the time of writing |
|---|---|
| Strategy call and first audit | Free |
| Small build (two or three automations) | About $1,000 |
| Full setup | $2,000 to $5,000 |
| Larger systems (several document types, systems or entities) | Fixed price after the audit, shown before work starts |
| Cleanup of an existing automation account | From $200 |
| Fixes to anything we built | Free for 6 months |
| Monthly support after that | Optional, from $200 |
Your own running costs sit outside our fee: your Xero plan, your automation platform plan, and the extraction model. Extraction is usually the smallest of the three. Our document AI cost per page research prices the main options for 1,000 invoices with the arithmetic shown.
How many bills can a Xero automation post?
Xero's API allows 60 calls per minute and 5,000 calls per day for each connected organisation, with up to 5 calls in progress at once. On our design estimate of about 3 calls per bill, that is roughly 20 bills a minute.
Xero's developer documentation, checked October 30, 2026, sets these limits per organisation, plus an app-wide limit of 10,000 calls per minute. A request over the limit gets an HTTP 429 response with a Retry-After header saying how many seconds to wait (Xero API limits). We design for that: a queue for big batches, retries that wait as told, and an alert if the daily allowance runs low. The 3-calls-per-bill figure (vendor lookup, create the bill, attach the PDF) is our own design estimate, so we measure it on your setup.
Which AI model reads the bills?
We pick a current model for each client based on document quality, volume, speed, cost and data handling. Every new build uses a model with no announced retirement date.
Typed PDFs from regular suppliers are easy for most current models. Phone photos, faint scans and long multi-page invoices need an OCR pass or a stronger vision model. We test the shortlist on your audit sample before choosing. Our FAQ on which AI models Autoesta uses explains how that choice is made.
When do you not need Autoesta for Xero bills?
If you receive a modest number of bills, they all go into one Xero organisation, and a person approving each draft is fine, Xero's own capture may be enough. You can forward bills by email and Xero creates draft bills for approval.
Xero's pay bills page, checked October 30, 2026, says you can add bills by "uploading files directly to Xero or forwarding bills from your email", that "Xero's AI extracts the key details to create draft bills ready for approval", and that it will "detect and flag duplicate bills automatically" (Xero: pay bills). Try that first. A custom build earns its cost when you need:
- Line items and PO matching checked before a bill exists.
- Approval rules by amount, vendor or department that live outside Xero.
- The same data sent to a CRM, project tool or reporting sheet as well as Xero.
- Several Xero organisations, or Xero alongside QuickBooks Online.
- Documents that are not bills, such as contracts, intake forms or delivery notes.
We say so on the free call when Xero's own feature covers the job.
More questions about Autoesta and Xero bill automation
Do you need access to our Xero organisation?
Yes, a connection to your Xero organisation with the permissions the workflow needs, such as reading contacts and creating bills. The connection is registered in your name, so you can remove it at any time. Where a sandbox or test organisation is available we build and test there first, then switch to your live organisation after the parallel run.
Will the automation post bills without anyone checking them?
Only the bills you allow. A bill posts on its own only after it passes every rule: totals add up, the vendor matches one contact, the invoice number is new and any PO lines match. You can also set an amount above which every bill goes to a person. Everything else waits in the review queue with the original page beside it.
Can Autoesta connect Xero to our CRM or other tools?
Yes. We build API integrations and automations across the tools a business already uses, so a bill can also update a job in your project system, a deal in your CRM or a row in a reporting sheet. Our AI consulting work starts by mapping those systems, so the build fits how your team already works.
Do you work with firms of every size?
Yes. We build for small firms with one bookkeeper and for larger companies with several entities and approval steps. The method is the same; the number of rules, systems and review steps changes. Our 16-person team works with clients in the US and abroad. See whether Autoesta works with small businesses and large companies.
What should we bring to the strategy call?
Bring a rough monthly bill count, a list of who approves what, and 20 to 50 real bills, including the messy ones: photos, multi-page invoices, foreign currency and credit notes. We use them in the free audit to list the fields and rules, then send a written plan with a fixed price. More common questions are in our FAQ hub.
