What does an AI receptionist do for a UK business?

An AI receptionist answers your inbound calls with a voice agent, asks the questions your front desk would ask, books into your calendar, takes messages and transfers urgent or complicated calls to a person. We build it on HighLevel's Voice AI with your CRM behind it, so every call ends as a contact, a note and a task.

HighLevel's own description says its Voice AI agents answer incoming calls, qualify leads, book appointments, give information and transfer calls to human agents on conditions you set, "during business hours, after hours, weekends, and holidays". Autoesta is a 16-person team based in San Francisco, with Alpit Patel as founder and a HighLevel Certified Admin. We work with UK businesses remotely. We have no UK office, and this page does not describe a UK client result, because we have not published one. What it does cover is what changes when the phone line, the law and the clock are British.

Our main pages on the product are AI receptionist and AI calling agent service. This page is the UK version of them.

Which UK phone number can the AI receptionist answer?

A UK business can use a UK local, national, mobile or toll-free number. Local and national numbers need a UK address; mobile and toll-free numbers accept an address anywhere in the world. HighLevel says there is no fee to register UK long codes, and it does not publish an approval time.

Sources: HighLevel's UK KYC article (modified October 7, 2026) and the country number file attached to its Phone System pricing guide (read October 21, 2026). For a business not registered in the UK, the article says to use a UK mobile or toll-free number. Two practical points follow. First, an 0800 line costs six times as much per inbound minute as a local line on HighLevel's rates, so pick it only if your customers expect a free number. Second, the rate file marks all three types as needing an address on file, which for mobile and toll-free can be anywhere in the world.

If you want to keep the number your customers already call, tell us on the first call. The steps depend on your carrier; our guide to keeping a business phone number in GoHighLevel explains the options.

What do UK call-recording and data rules mean for an AI receptionist?

Tell callers the call is recorded and why, give the rest of the privacy information by link or email, and treat anything about a caller's health as special category data. The Information Commissioner's Office (ICO) sets these expectations, and an AI receptionist that records or transcribes calls falls under them.

Four rules shape the build:

  1. Say it is recorded. The ICO says "You must tell these people that you are recording the call and why", that a recorded message is good practice, and that the remaining privacy information can be sent separately, for example by email or a website link. The ICO page we read is about monitoring workers' calls and does not set a retention period. The opening line of the AI's greeting carries the notice, and your privacy page carries the retention period you choose.
  2. Health is special category data. The ICO lists "data concerning health" among the special categories, and says you must identify an Article 9 condition for processing it. A dental or GP-adjacent line hears health details by default, so the greeting and the notes policy matter more there.
  3. Pay the data protection fee if it applies. The ICO's tiers are £52 for micro organisations (turnover up to £632,000 or no more than 10 staff), £78 for small and medium organisations and £3,763 for large ones, with £5 off by direct debit. Many controllers can rely on an exemption; use the ICO's own check.
  4. Offer a person where a decision matters. The ICO's updated draft guidance on automated decision-making (revised March 31, 2026) applies to decisions based solely on automated processing that have a legal or similarly significant effect, and asks for four safeguards: information about the decision, a way to make representations, a human review and a way to challenge it. Booking an appointment is not that kind of decision. Refusing someone a service because the AI scored them low could be. We design the receptionist so it books, routes and takes messages, and hands anything judgement-based to a person.

HighLevel says its product infrastructure resides in the United States (security overview modified June 16, 2026). Call data from your UK callers is therefore processed on US infrastructure. Record that in your privacy notice and ask your data protection adviser which transfer mechanism you rely on. This is general information, not legal advice.

Does a UK AI receptionist have to tell callers it is an AI?

We found no rule in the ICO or UK government pages we read that makes a voice agent announce itself as an AI. We still build it to say so in the first sentence, because UK GDPR's transparency principle and ordinary trust both point that way, and because callers who feel tricked hang up.

A greeting that works says three things in about ten seconds: who is answering, that it is an automated assistant, and that the call is recorded. For example: "Hello, you've reached the practice. I'm an automated assistant and this call is recorded. How can I help?" Then it offers a person if the caller asks. The ICO pages we read do not prescribe wording, so the sentence above is our choice, not a legal template. For the US picture on AI voices in calls, see is AI calling legal.

How much does an AI receptionist cost for a UK business?

A small AI receptionist build with us is about $1,000, a full GoHighLevel setup is up to $5,000, and the strategy call is free. Running costs on HighLevel's rates are about $70 per 1,000 inbound minutes before language model tokens, plus VAT where it applies.

Our prices are in US dollars because HighLevel prices phone usage in US dollars, and we do not convert to pounds because the rate moves. The running-cost figures come from the HighLevel files we compared in AI receptionist running costs by country. The wider cost picture, with the build and the plan options, is in how much an AI receptionist costs. HighLevel's own plans are $97, $297 or $497 a month for the platform; VAT treatment depends on your billing profile, so check an invoice with your accountant.

How do British time, bank holidays and hours work in the build?

We set the agent to the Europe/London time zone and load your opening hours and bank holidays by name. UK clocks go back on October 25, 2026 and forward on March 28, 2027, and England and Wales, Scotland and Northern Ireland keep separate bank holiday lists.

A receptionist that quotes "we're open until 5" has to know whose 5. The two clock changes matter because a calendar built in US time can shift a booking by an hour for a week or two each year. The England and Wales dates after today are December 25 and 28 (Christmas Day and the substitute Boxing Day), January 1, Good Friday on March 26, 2027 and Easter Monday on March 29, 2027; Scotland and Northern Ireland have their own lists on the same government page. We load the list that matches your premises and test one booking on each side of a clock change.

What happens when someone calls with an emergency?

The agent tells the caller to hang up and call 999 and does not try to handle it. Anything urgent, distressing or outside the script goes to a person on your team through the transfer, with the reason written in the CRM note.

HighLevel's transfer feature sends a call to a human at a phone number you set, and the root agent controls working hours, maximum call time and an AI backup. HighLevel's article on agent transfer does not describe what happens when nobody answers, so we test that path with a real call and add a fallback: a text to the caller, a task for your team and a voicemail option. See also how a number pool can ring several people at once.

How do we build and test a UK AI receptionist?

We build it in five steps: map your calls, set up the UK number and its bundle, write and test the agent, connect the calendar and CRM, then run it beside your staff before it takes calls alone.

  1. Map your real calls. We start from what people actually ring about, from call notes or a sample of recordings, and list the top reasons.
  2. Get the number approved. You supply identity and address documents for the regulatory bundle; HighLevel reviews them and gives a reason if it rejects one.
  3. Write and test the agent. Greeting, questions, answers from your own price list and opening hours, and the transfer rules.
  4. Connect the calendar and CRM. Bookings, notes and tasks land where your team already works.
  5. Run it beside staff, then alone. We review the first calls and adjust the script. The full method is in how to build an AI receptionist.

The approval step depends on HighLevel's review and the quality of your documents, so the calendar time is set by that step more than by the build; see how long an automation build takes. If you already use GoHighLevel and want the receptionist added to an existing account, our GoHighLevel Voice AI setup page covers that, and the GoHighLevel setup agency page covers a full build.

Frequently asked questions

Is there an AI receptionist for UK small businesses?

Yes. We build one on HighLevel's Voice AI for UK businesses, working remotely from San Francisco. It answers calls on a UK number, books into your calendar, takes messages and transfers urgent calls. We have no UK office. A small build is about $1,000, quoted in US dollars.

Can an AI answer calls on my existing UK landline number?

Often, yes, but the route depends on your carrier. The usual options are moving the number to the voice platform or forwarding your line to a new UK number the agent answers. Moving a number has its own paperwork. Tell us your carrier on the first call and we will say which route fits.

Do I have to tell callers that calls are recorded and handled by AI?

The ICO says you must tell callers you are recording and why. We found no ICO or government page requiring a voice agent to say it is an AI, but we build the greeting to say it anyway, in the first sentence, along with the recording notice.

Does an AI receptionist work for UK dental practices and GP-adjacent clinics?

It can handle booking, directions and opening hours. Health details are special category data under UK GDPR, so we keep the agent to booking and messages, store as little as the task needs, and send clinical questions to a person. It does not give medical advice.

How much does a UK AI receptionist cost per month to run?

On HighLevel's rates, voice and phone cost about $70 per 1,000 inbound minutes before language model tokens, plus the number at $1.15 a month for a local line. A clinic answering a few hundred calls a month is in the tens of dollars, before any HighLevel plan and VAT.

What time zone does the receptionist use during UK summer time?

Europe/London, so it follows British Summer Time automatically. UK clocks go back on October 25, 2026 and forward on March 28, 2027. We test a booking on each side of a change so a calendar never shows the wrong hour.
